Payment Management contains many options for managing your payments and customizing your payment list views.

Quickly access all authorized ACH functionality from the ACH Menu dropdown.

ACH: Payment Management - Payment Detail

Payment Detail

Many functions for payments can be accessed from the Payment List View. Select multiple rows and choose an available action from the bottom buttons.

When a payment contains multiple transactions (beneficiaries), MULTI will display in the payment list. Otherwise, the Beneficiary name will appear.

Selecting a payment type will determine the information necessary for the next section. In this example, Cash Concentration / Disbursement has been selected.

Required information is indicated with a red asterisk. The Value Date is the effective date the payment is sent for processing. Use optional fields such as Batch Description or Comments for your reference.

Transaction information can be entered quickly by using the Beneficiary Address Book and ABA Lookup tools.

When payment entry details are complete, the payment can be submitted and confirmation window will be displayed.

ACH: Creating Payments - Approve

Approve Payment

The payment approval process is setup by your administrator. Certain payments may require multiple approvals by multiple users before being considered complete.

Payments in any status other than Approved require further action.

In the ACH Payments List View (via the ACH Home screen or the Payment Management screen), simply click the check box to the left of the individual payment and click Approve.

After your payment has been fully approved you will see a Confirmation box above the Payments List View widget, and the Status will change to Approved.

Remember that you can filter your payment list by selecting the Payments Requiring Approval view.

ACH: Creating Payments - Import

Import Payment

You can create a payment by importing a file. This example uses a NACHA formatted file to create a Payroll (PPD) payment.

Select the File Import link from the top of the payment list.

Select the file format from available options and the Choose File button to select your file.

Imported files are processed separately and when complete, create a notification with results.

To approve, modify, delete or reject the imported payment or template, use the Actions options in the Payment List View or Template List View widgets.

ACH: Creating Payments - Tax Payment

Create Tax Payment

In the Payment Type field, select Tax Payments, the select the Continue button.

This will open up the Originator Information screen. Select Originator ID (account/company id) and Value Date to be used with this payment.

Use drop down list or magnifying glass to locate the Tax Authority you wish to pay in the Beneficiary Information window.

Tax Type Code options available for the authority selected will appear once Tax Authority is selected.

Required fields are indicated by a red asterisk and may vary based on the selected agency. Other non-required information displayed can be selected or entered.

Once all information is entered, Submit tax payment and also save for future use as a template.

As with other payments, upon successful submission, the payment status in the Status column will appear as entered and the approval rules set up for payment will apply.

Payment Templates lists all templates that have been created and provides access to template details and available actions.

Template List View lists all templates that have been created and provides access to template details and available actions.

Similar to Payments List View, this view lists all templates and can be configured by the user.

Click on the Gear icon after the last column header, click the checkboxes to select which columns that you want to see in each view. Click Update.

The status displayed in the Status column determines the available actions for each template.

The template list can be filtered using this dropdown menu. Since templates cannot be used until they have been approved, the Templates Pending Approval option provides a quick way to filter the list for templates needing approval.

ACH: Payment Templates - Create

Create Template

To create an ACH template, select the Add a New Template link at the top on the top of the Template List View widget.

From the Add Template screen, select your Template Type from the drop down box. Selecting the Continue button will display further entry options based on the selected payment type.

Required information is indicated with a red asterisk. Use optional fields such as Batch Description, Descriptive Date, Company Discretionary Data or Internal Comments for your reference. A Beneficiary Information segment is displayed and can be used to add multiple beneficiaries.

If beneficiaries have been entered before and saved in the Beneficiary Address Book, information can be pre-filled by searching for them.

In the Beneficiary Information segment, transaction amounts can be entered and hold and prenote options selected.

Use the Bank Code Lookup tool to search and find a specific bank ABA.

Use the All Beneficiaries View to view all beneficiary entries together.

Use the buttons along the bottom at any time to action your template: Submit, Save for Later, or Cancel.

ACH: Payment Templates - Child Support

You can create a child support payment template by selecting Child Support Payments from the Payment Type dropdown. Selecting the Continue button will display further entry options based on the selected payment type.

You will first need to select an Agency (state) for each child support transaction.

Adding additional transactions involves the same flow; selecting an Agency is the first step.

View all transactions added to this template using the All Beneficiaries view.

ACH: Payment Templates - Tax

You can create a tax payment template by selecting Tax Payments from the Payment Type dropdown. Selecting the Continue button will display further entry options based on the selected payment type.

This selection will further refine the next options that are required for Tax Type.

Select Add Another Beneficiary to add other transactions to this template.

ACH: Payment Templates - Import

Import Template

To import a template, begin by selecting the Import option at the top of the Template List View.

Select a file with the format that matches the template you are creating. Choose Import As either Payments or Templates.

After selecting your file, click the File Import button at the bottom of the page.

When your file has been processed, you can access the results from the Notifications window by selecting the Notifications button along the top of the page.

Your template will be added to the Template List View where you can access template details and status.

To approve, modify, delete or reject the imported payment or template, use the Actions options in the Payment List View or Template List View widgets.

ACH: Report Management

View a list of available reports. Click to view the report or choose from other actions to refine views.

Select View from the Actions column of the Reports Management widget.

Please select your desired criteria from the fields using the list or starting to type in the field. Fields with a red asterisk are required.

You may save this search criteria to your Reports Management widget by clicking the Save this Report checkbox. Then enter the desired name and description and click Save.

Export the report to other file formats using the top right 'Export As' button.

Saved reports will appear in the Report Management widget in alphabetical order.

The administrative home of the ACH System, Manage Reports & Users allows you to address all your access control needs.

User Maintenance

For companies that utilize the KeyNavigator Self Service module, User Maintenance allows administrators to view information about existing roles and permissions setup for ACH. If you have modifications or additions to roles, please contact your Payments Advisor.

The list displays all users. Like other lists, views can be changed utilizing the drop-down box on the right and you may add/delete columns by clicking the Gear icon. Click the Filter drop down to create a custom view by selecting the desired fields.

User Maintenance

Available actions for each user can be accessed from the Actions column. Selecting the View option displays the user detail.

If you have the appropriate permissions, you may make the desired changes in the User Detail and Assign Roles tab.

You may view the history by expanding the Audit section on the User Detail tab.

ACH: Setup

From here, you can access to many user configurable utilities, including managing payment alerts, managing email recipient address, and setting up groups. You can also map import files to payment types and data fields.

Alert Settings

Payment alerts that you have created will display in Alerts Center. Select the Add New Alert button to create an alert.

Enter the desired name in the Alert Name field. Next, select the Alert Group from Payments and Transfers or Administration (based on your permissions).

Selecting a given Alert Type option will display further options.

When setting up an alert, the Recipients/Recipient Groups available for selection will be present.

Using the Schedule Hours, Schedule Minutes and Time Zone fields, schedule when this notification should occur based on the alert type.

From the expandable Payment Type segment, select the payment types to be included for these notifications. Payment types displayed will be based on your access entitlements.

Payment amount thresholds can be set for all selected payment types for either credit or debit.

Once all required fields are entered, select the Save button to save the alert. A confirmation window will be displayed.

Your alert will now be displayed in the Alert Center list.

Alert creation for Approver Rejected Payments alert follows the same flow.

Alerts can be created when payments are automatically generated via the Automatically Created option (such as recurring payments), following the same flow.

Alerts include the alert type in the Subject line the language that identifies how many transactions are matched in this alert.

ACH: Setup

Email Recipients & Groups

The Recipients and Recipient Group widgets display the existing recipients for your company. You may modify, delete or view the existing contacts. To create a new recipient, select Insert at the top of the Recipient widget.

Enter the Company, Name and Email Address and then select the Save button, which will display a confirmation window.

From the Action column, you can View, Modify, or Delete email recipients from the list.

You can create a group of email recipients by first creating an email group consisting of the Group name.

Add recipients by searching by name in the Recipient Name field. Simply start typing their name in the box.

Click Save when you have entered all the desired recipients.

Once a group has been created, you can select this group as the email recipient when creating an alert. Alerts will then be sent to all recipients in that group.

Import Map

All widgets related to file imports can be found on the Payment Management page via the ACH Menu.

Select the Add Import Map button from the Import Map list.

In this example, a CSV (Excel-compatible) file is being mapped as with the Corporate Collections option in the Payment Type dropdown.
